Job Description:
We are seeking a detail-oriented and proactive Import & Licensing Executive to manage and streamline our import processes and licensing activities. The ideal candidate will have a solid understanding of import regulations, documentation, and coordination with stakeholders to ensure the timely and compliant import of goods.
Key Responsibilities:
- Manage import documentation and procedures for both air and sea shipments.
- Apply knowledge of Customs Tariff and HS Codes to ensure accurate declarations.
- Track and monitor import shipments to ensure on-time delivery and prevent delays.
- Coordinate with clearing agents, freight forwarders, and logistics partners for regular updates on shipment status.
- Work closely with the logistics team to maintain up-to-date records of planned, loaded, and offloaded shipments.
- Follow up with the logistics team for pending import documentation.
- Organize and maintain complete files of all import documents for audit purposes.
- Coordinate with the accounts and logistics teams to process shipment-related payments.
- Maintain a payment tracking report for all import-related transactions.
- Apply for import licenses for materials and services, including modifications and closures.
- Maintain a detailed tracking report on all open and closed licenses.
- Obtain BIVAC codes for material import licenses.
- Ensure proper shipment insurance coverage and awareness of relevant insurance policies.
- Continuously identify process improvement areas and contribute to more efficient operations.
Skills & Qualifications:
- Sound knowledge of import/export regulations and customs procedures.
- Proven experience with import documentation and shipment processes.
- Strong organizational and record-keeping skills.
- Effective communication and interpersonal abilities.
- High attention to detail and accuracy.
- Good problem-solving and decision-making skills.
- Ability to work independently as well as collaboratively in a team environment.
- Proficiency in MS Office (Excel, Word, Outlook) or similar software tools.
- Language proficiency in French or Lingala is preferred.
