Role Overview
The Sales Coordinator will manage backend sales operations for the B2B division, ensuring smooth coordination between the field sales team, customers, warehouse, accounts, and management.
This role will act as a central bridge, improving process efficiency, supporting the sales team, and ensuring timely and accurate communication across departments.
Key Responsibilities
1. Sales Coordination & Backend Support
- Receive orders from the sales team, prepare order sheets, and share with the warehouse for dispatch.
- Coordinate the complete order-to-dispatch cycle with warehouse, inventory, accounts, and customers.
- Track daily orders, pending orders, dispatch status, and ensure timely execution.
- Initiate, track, and ensure on-time preparation of route mapping sheets for the sales team as per weekly/monthly plans.
- Maintain smooth communication between the sales team, customers, and internal departments.
2. CRM Monitoring & Compliance
- Regularly check the CRM to ensure salespersons are updating their activities, including visits, orders, follow-ups, and customer interactions.
- Ensure 100% accuracy and completeness of CRM entries by monitoring pending tasks, follow-ups, and overdue closures.
- Highlight gaps, deviations, or pending entries to the Sales Manager and respective salespersons.
- Support management reviews by ensuring CRM data remains updated and reliable.
3. Payment & Ledger Coordination
- Check payment status in coordination with the Accounts team.
- Follow up with the sales team and customers for overdue payments.
- Track receivables, verify party ledgers, and identify discrepancies.
- Conduct party ledger reconciliation regularly and coordinate with accounts, sales team, and customers.
4. Inventory & Dispatch Coordination
- Check stock availability before confirming orders and ensure correct SKU allocation.
- Coordinate with warehouse for timely dispatch and track loading schedules.
- Follow up for transporter details, LR/builty copies, and share them with customers.
- Communicate delays, partial dispatches, or stock issues to the sales team and customers promptly.
5. Interdepartmental Communication
- Act as the bridge between Sales, Accounts, Warehouse, Inventory, and customers.
- Resolve operational queries related to orders, stock, pricing, dispatch, and payments.
- Escalate critical issues to the Sales Manager for timely resolution.
6. Reporting & MIS
- Prepare and maintain MIS reports:
- Daily sales & order summary
- Pending payments
- MTD & YTD data
- Party-wise sales reports
- Dispatch and pending order trackers
- Provide accurate data for management review and weekly meetings.
