Role Description :
The Front Office Executive in a real estate company acts as the primary point of contact for clients, visitors, and business partners. This role involves handling customer inquiries, coordinating with sales and property teams, maintaining client records, and ensuring a professional and efficient front-desk environment. The position is crucial in providing a positive customer experience and supporting daily real estate operations
Key Responsibilities :
1. Client Handling & Reception
- Greet and welcome prospective homebuyers, tenants, investors, and visitors.
- Understand client needs and route them to the appropriate sales or leasing representative.
- Manage telephone inquiries related to property listings, site visits, pricing, and availability.
- Maintain a neat, professional, and organized front-desk area.
2. Customer Support & Follow-ups
- Provide basic information about ongoing and upcoming real estate projects.
- Schedule property site visits, sales meetings, and client appointments.
- Coordinate with the sales team for follow-up calls, documentation, and client communication.
- Assist in addressing client queries or redirect them to the concerned department.
3. Administrative Duties
- Handle daily office correspondence, courier management, and document filing.
- Maintain updated databases of walk-in customers, inquiries, and leads.
- Support sales and CRM teams by preparing client forms, collecting KYC documents, and updating records.
- Assist in preparing sales kits, brochures, and promotional materials for clients.
4. Office Coordination
- Coordinate between the Sales, Marketing, CRM, and Admin departments as required.
- Ensure meeting rooms are prepared for client discussions and presentations.
- Manage inventory of office and marketing materials (brochures, forms, stationery, etc.).
- Liaise with facility management for office maintenance and housekeeping activities.
5. Event & Project Support
- Assist during project launches, customer events, site visits, and promotional activities.
- Support the marketing team in organizing open-house events and client engagement programs.
Required Skills & Qualifications
- Bachelor’s degree or diploma in any discipline (Hospitality/Business Administration preferred).
- 1–3 years of experience in front office, customer service, or real estate reception roles.
- Strong communication and interpersonal skills.
- Good knowledge of MS Office, CRM tools, and telephone systems.
- Professional appearance and customer-oriented attitude.
