Project-Based Billing Management

• Oversee billing for multiple interior fit-out projects across various stages.
• Ensure all billing aligns with project milestones, contractual terms, and approved variations.
• Coordinate with project managers to capture completed works and generate accurate client invoices.

2. Quality Assurance in Billing

• Verify accuracy of quantities, rates, and scope in billing documents (BOQs, work orders, variations).
• Conduct quality checks to detect overbilling, underbilling, or omissions.
• Cross-check bills with site progress reports, purchase orders, and contracts.

3. Vendor/Subcontractor Bill Verification

• Validate invoices from subcontractors and suppliers against scope of work and delivery notes.
• Ensure all supporting documents (work completion certificates, timesheets, delivery receipts) are attached and approved.
• Resolve discrepancies with vendors or internal stakeholders promptly.

4. Data Management & Documentation

• Maintain accurate records of all billing transactions, revisions, approvals, and disputes.
• Update billing logs, payment trackers, and cost-to-complete reports.
• Assist with monthly project financial reporting and forecasting.

5. Stakeholder Coordination

• Collaborate closely with the commercial, procurement, accounts, and project teams to align billing with contract obligations.
• Liaise with clients’ commercial representatives to clarify invoicing queries or disputes.
• Provide timely responses to internal and external billing-related inquiries.

6. Process & Compliance Improvement

• Recommend and implement improvements in billing workflows to reduce errors and delays.
• Ensure compliance with internal financial controls and industry best practices.
• Support internal/external audits by providing necessary billing data and documentation.

7. System & Tool Usage

• Use ERP or billing tools (e.g., SAP, Zoho Books, MS Excel) for data entry, invoice generation, and reporting.
• Maintain digital filing systems for easy retrieval of billing records and supporting documents.
