Job Title: Executive Assistant - PMO Location: Bangalore Department: Corporate Reports To: VP & EDC Site Leader
Key Responsibilities
1.
Administrative Support

Manage the VP’s calendar, including scheduling meetings, resolving conflicts, and prioritizing engagements.

Performs standard and advanced administrative duties, which may be of a confidential nature for senior vice president

Responsibilities include handling telephone calls, scheduling appointments and relieving the executive of routine administrative details. Coordinates meetings, conferences, presentations and travel arrangements

Composes correspondence, prepares reports and conducts special projects as directed

Coordinate travel arrangements, prepare itineraries, and process expense reports

Draft, proofread, and manage confidential correspondence, reports, and presentations

Operational Coordination

Organize logistics for meetings, including agendas, materials, catering, and technology setup

Maintain records and files for projects, contracts, and compliance documentation
3.
Project & Event Support

Assist in planning and executing departmental events, strategy sessisessions, and team-building activities

Support special projects, including research and preparation of briefing materials
4.
Communication & Liaison

Act as the primary point of contact for internal and external stakeholders.

Facilitate communication between the VP and senior leadership, staff, and external partners

Respond independently to routine inquiries and escalate critical matters
5.
Networking & Relationship Management

Build and maintain strong professional relationships with internal teams and external partners

Represent the VP in networking events, industry forums, and stakeholder meetings

Identify opportunities to expand the organization’s network and support strategic partnerships

Skills & Qualifications

Education: Bachelor’s degree in Business Administration, Project Management, or related field

Experience:

5+ years in executive support roles, preferably supporting senior leadership

Exposure to PMO processes and project coordination

Experience working in global or multi-regional environments

Familiarity with supplier engagement or procurement processes

Technical Skills:

Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook)

Familiarity with analytics tools (Excel advanced functions, Power BI, or similar)
